Action Assist Modules

The Action Assist modules can be categorised into document management and action (process management) modules:

  • The document management modules manage various types of electronic documents that have been uploaded onto the database (payslips, contracts, certificates, identity documents etc.).
  • The action modules manage the status of actual process activities against pre-defined process activities (as defined in the setup of the module). All activities on the database are time stamped which allows for accurate performance reporting.

The Document Management Modules include:

Document Management Document Assist acts as a repository of electronic copies of the organisation's documentation. The Module Administrator defines the categories of documents and is responsible for assigning user access to each of the categories created. Only those users authorised to create categories, upload, view and / or delete documents to category of documents, will have access to the functionality.

The Action Modules include:

Case Management Case Assist assists organisations with the management and clearing of various types of investigations. The identified cases are investigated by assigning specific actions to be undertaken to specific users (action owners). The tool facilitates the capturing, investigation, monitoring, maintaining and managing of cases and associated actions from a centralised point.
Complaints Management Complaints Assist facilitates organisational management of complaints. Complaints can be received by one or more staff members and are electronically distributed to the department / individual responsible for addressing the complaint(s). The assigned respondent updates the complaint electronically and, once complete, closes the call.
Compliance Management Compliance Assist assists organisations with their compliance to relevant laws, regulations, polices, standard operating procedures, etc.
Contract Management Contract Assist assists organisations with the management of various types on contracts. The contracts are assigned deliverables, sub-deliverable and actions to be undertaken by specific users (action owners). The tool facilitates the capturing, monitoring, maintaining, managing and evaluation of contracts from a centralised point.
Help / Support Management Help Assist facilitates the management of help requests. Help requests can be received by one or more staff members and are electronically distributed to the department / individual responsible for addressing the request(s).
Performance Management - Individual Individual Performance Assist facilitates the allocation, tracking and reporting of performance indicators for the various levels of employees within the organisation.
Performance Management - Organisational Organisational Performance Assist facilitates the management of organisational performance on a monthly or quarterly basis. It is an electronic tool that can be tailored to address any organisations organisational performance management needs.
Query Management Query Assist assists organisations with the management and clearing of various types of queries. The identified queries are cleared by assigning specific actions to be undertaken to specific users (action owners). The tool facilitates the capturing, monitoring, maintaining and managing of queries and associated actions from a centralised point.
Resolutions Management Resolutions Assist helps organisation to effectively manage Board / Council Resolutions. Resolutions are captured onto the system and once submitted, an action is automatically e-mailed to the person responsible for executing the resolution. The responsible person updates the status of the resolution electronically as and when required. Reports of all resolutions can be printed prior to Council meetings or viewed electronically during meetings.
Risk Management Risk Assist assists organisations with the management and addressing of various types of risks identified by the management team of the organisation. The identified risks are addressed by assigning specific actions to be undertaken to specific users (action owners). The tool facilitates the capturing, monitoring, maintaining and managing of risks and associated actions from a centralised point.
Task Management Task Assist facilitates the allocation, tracking and reporting of tasks between the various users in the organisation. Management can track the status of all updated actions at any time. Users are notified via e-mail of all new actions assigned to them and the progress status of actions they have assigned to others.
